Who we are

IPQ Nurse Training is a trading name of IPQ Healthcare Ltd, registered in England and Wales, company number 15273051. We are the data controller for the personal information described in this notice.

What we collect and why

When you send us an enquiry. Your name, organisation, role, email address, phone number, the course you’re interested in, the number of staff and your message. We use this to reply to you and to plan training. Our lawful basis is our legitimate interest in responding to people who contact us about our services.

When you buy or are enrolled on a course. Your name, email address, username and password (stored in encrypted form), your professional registration number if you choose to give it, your course progress, assessment scores, completion date and certificate number. We use this to give you access to the course, to record your assessment result, to issue your certificate and to answer questions about your completion later. Our lawful basis is performance of our contract with you. Where your employer books the course, our lawful basis is our legitimate interest in delivering the training your employer has arranged.

When you pay us. Your name, email address, billing details and the amount and date of your payment. Card details are entered directly into Stripe’s secure payment system; we never see or store your full card number. Our lawful bases are performance of our contract with you and our legal obligation to keep accounting records.

Emails we send you. We keep a short-term record that an email was sent to you, including the recipient address, subject and date, so we can check whether enrolment and completion emails arrived. Our lawful basis is our legitimate interest in running a reliable service.

When you use our website. Your IP address, browser type and pages visited, recorded in standard server logs by our hosting provider for security and troubleshooting, and cookies as described in our cookie banner. Non-essential cookies are used only with your consent.

Who we share it with

We do not sell your information or use it for advertising. We share it only with:

• Krystal Hosting, who host our website and email on servers in the United Kingdom.
• Stripe, who process card payments. Stripe is the controller of your payment information and has its own privacy policy.
• Your employer or the organisation that booked your place, where they have paid for your training. We share your name, completion date, assessment score and certificate number so they can record your training. We do not share the content of any enquiry you send us privately.
• Our professional advisers and an accreditation body, where we are required to evidence course delivery for accreditation or audit.
• Anyone we must share it with by law, for example HMRC or a regulator.

Our website and course software run on our own hosting, so your course progress and records stay within our systems. Where a supplier processes information outside the UK, we rely on the safeguards permitted under UK data protection law.

How long we keep it

• Enquiries: 24 months from your last contact with us.
• Learner accounts, assessment results and completion records: 6 years after completion, so we can confirm a certificate is genuine and evidence delivery for accreditation and audit.
• Payment and accounting records: 6 years, as required by tax law.
• Email delivery logs: 30 days.
• Website server logs: as set by our hosting provider, usually a few weeks.

Your rights

You have the right to ask us for a copy of your information, to correct it if it is wrong, to ask us to delete it, to object to or ask us to restrict how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

Some rights have limits. For example, we cannot delete a completion record while we still need it to evidence accreditation or to meet our legal obligations, and we must keep payment records for six years.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Keeping your information safe

Our website uses encryption (HTTPS), course files can only be opened by logged-in learners with access, and administrator accounts are protected by strong passwords and login protection. No system is completely secure, but we take these steps to protect your information.

Children

Our courses are for registered healthcare professionals and staff aged 18 or over. We do not knowingly collect information about children.

Changes to this notice

If we change this notice, we will update the date at the top and, where the change is significant, tell learners by email.
